The room plan builds itself, the allocation can be explained, and what a guest writes becomes a task on the floor. All in one system.

There is plenty of housekeeping software. What is different here: the same software also answers the guest. A "can we check out later?" becomes a change in the room plan without anyone retyping it.
This page describes what the system decides, how it justifies those decisions, and where its limits are.
The day builds itself
At your property's rollover hour, tomorrow's plan appears on its own. It is composed of three layers: departures and stayovers from the PMS, recurring tasks, and the rooms the house itself owns.
The third layer is the one other systems miss. The staff flat, the gym, the owner's apartment: your PMS knows nothing about them, because nobody ever checks in. They carry their own rhythm instead, and appear in the plan without anyone having to remember them.
Allocation you can explain
Distributing rooms across the team is deliberately not an AI decision. It is arithmetic: a time budget per person, how close rooms are to each other, walking order.
The reason is practical. A head housekeeper has to be able to say at seven in the morning why 214 went to Ana, in one sentence that is true. A model that gives the same answer with a different justification on different days would be worthless at exactly that moment.
What the system does learn is your corrections. That a regular guest asks for Ana. That only Ines can work the sticking lock on 108. A head housekeeper otherwise makes those same changes every morning, and the plan forgets them by lunchtime. Here they stay.
When someone does not turn up
Everything else about a shift depends on a human reporting something. Whoever simply does not arrive, and does not call, stays on the board as "in", with rooms against their name. Until now the first person to notice was a guest at two in the afternoon.
The system spots the gap itself: someone is rostered, holds rooms, and has opened none of them. The head housekeeper hears about it while the day can still be saved.
If a room gets stuck, it goes to a person, on three routes at once, because those routes fail in different ways.
Shift handover
The handover is a document, not a shouted sentence: with an edit trail and two signatures, the outgoing and the incoming shift. That is deliberately not AI either. A handover that may have to prove something in a dispute has to show who wrote what, and when.
Lost property
When someone finds something, they tap [Problem] on their phone. The room pauses and the head housekeeper sees the line immediately.
What happens next is the real work: guests' belongings, and anything that looks valuable or sensitive, always go to a human, never into an automated reply. The gold watch in 214 does not get filed away. It reaches the custody log.
Consumption
Minibar and supplies are recorded by two different people and cross-checked. Not out of distrust, but because a figure entered by a single person cannot be discussed at the front desk.
Staff are not guests
A staff member's phone number is recognised as a staff member's. Without that, her message would be indistinguishable from a guest's: it would run into the guest assistant and sit in the inbox as a guest conversation.
For the same reason, completing a room by QR code is bound to the person who scans, not to the sticker on the wall. A printed code with no binding is a key that never expires and that anyone can photograph.
Data protection and the works council
"Sick" is not stored. Absence is recorded as "not on duty", with no reason.
This is not a setting that can be switched, it is a design decision: the Article 9 health data never comes into existence. So the question at the works council does not have to be answered, it does not have to be asked. Anyone who has introduced staff software in a co-determined business knows which meeting that saves.
Limits
There is no room assignment for future dates. In your PMS the specific room is decided at check-in. For a future date, only how many rooms are occupied is known, not which ones. The plan then shows totals. For today it shows both.
Only house-owned rooms plan far ahead. The staff flat and the gym can be planned months out, because they depend on no booking. Anything tied to occupancy is known only as far ahead as the bookings are.
Allocation optimises walking routes, not people. It knows time budgets and distances. It does not know how someone is feeling today. That is why the head housekeeper is still the one who releases the plan.
The difference from housekeeping-only tools
There are good tools that only do housekeeping, and good tools that only talk to the guest. The work happens in between: the late check-out promised on the phone that never reaches the floor.
Here it is one system. The promise from the conversation is in the room plan, the report from the floor is in the conversation, and nobody types anything twice.
